Job Title: Centre Co-Ordinator

Salary: £20,000 per annum  

Hours: 37.5 hours per week (Monday - Friday)

Location: Liverpool

James’ Place is a non-clinical centre for men experiencing suicidal crisis in Liverpool. We aim to provide a calm and peaceful environment. We believe that those who are experiencing suicidal thoughts need to be in a safe space where they feel safe, valued, nurtured and respected.

The purpose

The successful candidate will support the day to day running of James’ Place, under the guidance of the Centre Manager, including being the first point of contact for referrers and men in distress. You will be expected to set the tone of the experience at James’ Place, provide efficient administrative support to the centre manager and therapists, as well as co-ordinate the contribution of our volunteer team. These duties will be carried out in the context of James’ Place’s value system and Code of Conduct.

You will be a key team member working alongside a dynamic, innovative, and professional team. We believe that this is an ideal opportunity for someone looking to break into the charity sector. This role requires someone with good people skills who can work hands on in a small and potentially challenging environment. Your administrative skills will be highly valued in building the backbone of James’ Place. You will have to be proficient in Office 365 software such as Access, Word, Excel, PowerPoint, and Outlook, with the ability to manage Outlook cloud calendars, Shared Drive and a shared inbox. The ability to engage and share in the James’ Place values is a necessity.

Principal accountabilities of the role


The role holder’s key accountabilities include:


Coordinating day to day activities

  • Contact with people who are distressed with the expectation to maintain a positive approach with all people who are seeking support from our services

  • Dealing with enquiries, making appointments, including online referrals

  • Supporting users of the service to access information about other agencies or helping them to contact other organisations'

  • Monitor and maintain a safe, healthy and secure working environment and acting upon any Health & Safety risks, including operation of practice appliances – heating, lighting, telephone equipment, security equipment, computers, photocopiers, Lock and unlock premises and set (unset) alarm system

  • General tidying of office, reception and public areas and keep workstation tidy at all times- this environment expresses our values


Administrative responsibilities

  • Develop and maintain effective administrative systems

  • Maintaining an effective appointment system ensuring all the resources at James’ Place are used efficiently  

  • Make and record payments, invoices and bills with regard to James`s Place policies and procedures

  • Collating and gathering information to support the effective evaluation and monitoring of James’ Place

  • Supporting fundraising and facilitate promotion of the service through up-to-date marketing materials and event management


Coordinating volunteer team

  • Manage the strategy for the recruitment and retention of volunteers

  • Identifying and developing new volunteering opportunities

  • Matching the skills, experiences and expectations of volunteers to available positions

  • Arranging training opportunities as appropriate

  • Conducting performance review or evaluation

  • Developing ways to reward and recognise volunteer contribution

  • Managing volunteer communications such newsletters or social media.

  • Developing and managing policies, procedures and standards for volunteers

  • Keeping appropriate records as required

  • Rostering and organising volunteers
